BOOKING INFORMATION
How to Make a Booking (Museums visit)
Step 1
Before you contact us, please have the following information ready:
- museum(s) and resource(s) you would like to book. (All museum sites are open to school groups during term time.)
- the date you want to visit the museum. Please have a number of alternatives available. To avoid disappointment early booking is recommended for many sessions, as demand can be high. If you have a specific date in mind, we recommend that you contact us at least 3 months in advance.
- the time you plan to arrive and leave. Please ensure you leave adequate time for travel.
- if you would like to book lunchroom facilities.
- the number of children and their year group(s). Please note: the maximum number of children per Active Learning Session is 35.
- details of special requirements (educational or otherwise) of pupils or accompanying adults.
- contact details for the school and supervising teacher.
Step 2
Phone our Bookings Office on 0116 225 4910. It’s the same number to book visits to all our museums.
Step 3
Book your transportation and ensure that drivers are fully aware of which museum(s) you are visiting, how to get there and have an accurate estimated journey time. Please note: Our teaching staff are part-time and if you arrive late we cannot guarantee a full session.
Step 4
On confirmation of your booking you will be sent a Confirmation of Booking Form and Visit Itinerary outlining your schedule for the day. Please check these carefully and inform us immediately if any changes need to be made.
How to pay:
For resources that incur a cost, schools will be invoiced following their visit.
Cancellation:
We require a minimum of 5 working days notice for changes in bookings. For Active Learning Sessions notification after this period will incur a cost of £35.
Risk assessments:
For legal reasons we are unable to provide teachers with an ‘all encompassing’ risk assessment. However, we do send a written statement when a booking is confirmed that includes information and confirmation that all of our sites, resources and sessions have been risk assessed in accordance with Leicester City Council’s Health and Safety procedures.
We strongly advise that any teacher planning an educational trip to one of our museums carries out a preliminary visit to complete their own risk assessment. To arrange a pre-visit, please contact our Learning Office or simply visit the desired museum(s) when open and our Museum Assistants will be pleased to help you.
